bioLAB Exchange and Refund Policy

1. Purpose of This Policy

This policy is established to define the terms and conditions governing the exchange, modification, cancellation, and refund of diagnostic testing services provided by bioLAB. Due to the specialized, time-sensitive, and irreversible nature of laboratory testing, strict procedures are required to ensure service quality, regulatory compliance, and operational efficiency.

2. Scope of Application

This policy applies to all customers who purchase diagnostic services through bioLAB’s website, mobile application, call center, physical branches, or authorized representatives.By placing an order, the customer acknowledges full understanding and acceptance of this policy.

3. Definitions

For the purpose of this policy, the following definitions apply:

  • Order: A confirmed request for diagnostic testing services submitted through bioLAB.
  • Processing: Any laboratory activity including sample registration, preparation, analysis, testing, or validation.
  • Shipping: Transportation of collection kits, samples, or related materials.
  • Recollection: A repeated sample collection due to technical, medical, or quality reasons.
  • Service Fees: Charges related to administration, collection, logistics, and handling.

4. Test Exchange and Modification Policy

4.1 Eligibility for Exchange

Customers may request modification or exchange of a selected test only under the following conditions:

  • The request is submitted before shipping of any collection materials; and
  • The laboratory has not started sample processing.

4.2 Exchange Procedure

  • All exchange requests must be submitted in writing through official bioLAB communication channels.
  • bioLAB reserves the right to request additional verification before approving any change.
  • Approved exchanges may be subject to price adjustments.

4.3 Limitations

  • No exchanges shall be permitted once processing begins.
  • No exchanges shall be permitted after sample receipt by the laboratory.
  • No exchanges shall be permitted after test completion.

5. Cancellation Policy

5.1 Pre-Processing Cancellation

Cancellations requested before shipping or processing may be considered for partial refund.

5.2 Post-Processing Cancellation

Once processing has started:

  • Cancellations are not permitted.
  • Orders cannot be suspended, stopped, or reversed.

5.3 Post-Completion Cancellation

After results issuance:

  • All orders are considered final.
  • No cancellations shall be accepted.

6. Refund Policy

6.1 Refund Eligibility

Refunds may only be granted under the following circumstances:

  • Order cancellation before shipping and processing;
  • Verified service failure attributable to bioLAB;
  • Documented technical error.

6.2 Non-Refundable Charges

The following fees are non-refundable:

  • Shipping and logistics fees;
  • Sample collection fees;
  • Administrative and handling charges;
  • Third-party service fees.

6.3 Refund Processing

  • Approved refunds will be processed within [60] business days.
  • Refunds will be issued through the original payment method.
  • Currency exchange losses shall not be reimbursed.

7. Sample Collection and Recollection Policy

7.1 Initial Collection

All samples must be collected in accordance with bioLAB protocols.

7.2 Recollection Conditions

Recollection may be required due to:

  • Insufficient sample volume;
  • Sample degradation;
  • Contamination;
  • Equipment or technical malfunction.

7.3 Recollection Limitations

  • Test changes are prohibited during recollection.
  • Original test selection remains binding.
  • Unauthorized recollection requests will not be accepted.

7.4 Recollection Fees

  • Approved recollections due to bioLAB error will be covered by bioLAB.
  • Recollections caused by customer non-compliance may incur additional fees.

8. Shipping and Logistics Policy

  • All shipments are subject to carrier schedules.
  • bioLAB is not responsible for delays caused by third-party logistics providers.
  • Once shipping is initiated, fees become non-refundable.

9. Customer Obligations

Customers agree to:

  • Provide accurate personal and medical information;
  • Review all test details prior to ordering;
  • Follow sample collection instructions;
  • Maintain confidentiality of login credentials;
  • Comply with all bioLAB procedures.

Failure to comply may result in service suspension without refund.

10. Quality Assurance and Error Resolution

bioLAB maintains strict quality control standards.

In case of suspected error:

  • Customers must notify bioLAB within [60] days of result receipt;
  • Supporting documentation may be required;
  • Investigations will be conducted internally.

Decisions made by BioLAB’s Quality Committee are final.

11. Limitation of Liability

bioLAB shall not be liable for:

  • Indirect, incidental, or consequential damages;
  • Delays beyond reasonable control;
  • Misuse of test results;
  • Customer-provided incorrect information.

Total liability shall not exceed the amount paid for the service.

12. Confidentiality and Data Protection

All customer data is handled in compliance with applicable data protection regulations. Test results are confidential and released only to authorized parties.

13. Amendments and Modifications

bioLAB reserves the right to modify this policy at any time without prior notice. Updated versions will be published on official platforms.

Continued use of services constitutes acceptance of amendments.

14. Governing Law and Jurisdiction

This policy shall be governed by and interpreted in accordance with the laws of the Kingdom of Bahrain.

Any disputes shall be subject to the exclusive jurisdiction of Bahraini courts.
